  • What is an AI agent, really?

    The question: “Everyone keeps saying ‘AI agent.’ What does that actually mean for my office?”

    Think about the person who answers your customer emails. They read a message, look something up, write a reply, and flag anything unusual for you. An AI agent is a piece of software that can do a defined part of that job: it uses information and tools to carry out a task you have described.

    An example

    A customer writes to a local repair shop asking for a Friday appointment. A useful agent reads the message, notes what is missing (the address, the problem), drafts a reply asking for it, and puts the draft in front of the owner.

    What the agent may do

    • Read the incoming message and the approved information you give it.
    • Prepare a draft reply and a short summary of what is still unknown.

    What a person still owns

    • Whether the reply is sent.
    • Any price, date, or promise to the customer.

    One safe first step

    Pick one recurring task and write down who owns it and how you would know it was done right. If you cannot describe that, no agent can do it well yet.

  • Your customers’ AI assistants are coming

    The question: “If customers start using AI assistants to contact businesses, what should I have ready?”

    More customers will ask an assistant to find a business, check availability, or request a quote. Those assistants will reach you by email, form, or phone. Your business can get ready now, without handing control to software.

    A customer’s assistant contacts a local service business asking whether someone can come out Friday afternoon. The business has approved information about services and service area, but price and schedule need a person.

    What the receiving agent may do

    • Answer from approved information, such as services, service area, and general hours.
    • Collect what is missing and prepare a draft reply.

    What a person still owns

    • Price, schedule, and any exception.
    • Anything that commits the business to something.

    One safe first step

    Write one page of approved answers: what you do, where you work, and what always needs your approval. That page is useful whether or not an agent ever reads it.
